What Information do we collect and Why?
Welsh Karate Governing Body collects personal identifiable information (name, address telephone number ,DOB etc) when you join the club. Our lawful basis for processing is therefore: Contract.
This information is shared with the committee members of Welsh Karate Governing Body Ltd and is only used in order to facilitate membership and insurance purposes.
Membership Application:
Information is received via a paper membership form. Information is then transferred to a spreadsheet. This information is not stored on portable devices and is kept in a locked office.
The club maintains suitable safeguards including reasonable physical administration and technical safeguards to protect its database from unauthorised access, disclosure or destruction.
Data is only held electronically on the spreadsheet for as long as the applicant is in membership.

Paper Form
Paper Forms are retained as part of our membership records and stored for a maximum of seven years after the application. Paper Records are stored in a locked office. At the end of seven years records are shredded.
Access your Information and Correction
You have the right to request a copy of the information that we hold about you. You may also ask us to correct or remove any information that you think is inaccurate or remove information completely.
